Cancellation Policy, Terms & Conditions, and Privacy Policy
Cancellation Policy
We understand that life happens, but late cancellations and no shows affect other clients waiting for an appointment, so please give us as much notice as possible.
Rescheduling or cancelling. Please confirm, reschedule, or cancel your appointment at least 24 hours in advance, whether your session is via Telehealth or face to face in Mackay.
Late cancellations and no shows. Medicare does not cover missed or late cancelled appointments, including those booked under a GP Chronic Condition Management Plan (GPCCMP). If less than 24 hours' notice is given, or you do not attend, a 50% cancellation fee applies. This fee is charged privately to you, not to Medicare.
How fees are paid. No card details are required to secure your booking. If a late cancellation or no show fee applies, we'll send you an invoice with a payment link directly.
Repeated no shows or reschedules. After 3 no shows or late reschedules, we may decide not to offer you further bookings.
If you need to reschedule, please contact us as early as possible at katie@simplisticnutrition.com.au or 0411 072 030.
Terms & Conditions
Agreement & Eligibility. By booking an appointment or using this website, you agree to these Terms & Conditions. Our services are intended for clients aged 18 and over. This agreement is governed by the laws of Queensland, Australia, and any disputes are subject to the jurisdiction of the Queensland courts.
Bulk Billing & GP Chronic Condition Management Plans (GPCCMP). Where a client holds a valid GP Chronic Condition Management Plan (GPCCMP) referral from their GP, eligible dietetic appointments are bulk billed to Medicare, with no out of pocket cost to the client, in accordance with current Medicare rules and rebate limits. Bulk billing is subject to the client remaining eligible under Medicare guidelines and having remaining allocated visits on their referral. If a referral lapses, is exhausted, or a client is found ineligible for bulk billing, the client is responsible for the applicable consultation fee and will need a new referral from their GP to continue accessing bulk billed sessions.
Medical Advice Disclaimer. The information provided through our website, consultations, and any written materials is for informational and educational purposes only and does not replace individualised medical advice. Please consult your GP or other healthcare provider before making changes to your diet, medication, or health management, particularly if you have an existing medical condition.
Service Delivery. Consultations are delivered via secure Telehealth video call or face to face in Mackay, Queensland, depending on what you've booked. Following your first and final sessions, a written report is provided to your referring GP. We reserve the right to modify, reschedule, or discontinue services, and will give reasonable notice where possible.

Liability Limitations. To the extent permitted by Australian Consumer Law, Simplistic Nutrition disclaims all warranties, express or implied, and limits its liability for any loss or damage arising from the use of our services or website content.
Privacy Policy
What We Collect. We collect personal and health information through our website, our practice management software (Cliniko), and directly from you during consultations and referrals. This may include your name, contact details, Medicare number, referral and health information relevant to your dietetic care, and appointment and billing records.
How We Use It. Your information is used to provide and manage your dietetic care, process bulk billing claims and any applicable fees, and communicate with you about your appointments. Where you have a GP Chronic Condition Management Plan (GPCCMP) referral, we share relevant clinical information, including a written report after your first and final sessions, with your referring GP, as required for GPCCMP reporting.
Telehealth & Payments. Video consultations are conducted through Cliniko's secure telehealth platform. Where a fee applies, such as a late cancellation fee, an invoice and payment link are issued to you through Cliniko.
AI Assisted Clinical Notes (Heidi). During consultations, we may use Heidi, an AI clinical scribe tool, to help transcribe and summarise session notes. Heidi processes what's discussed in your appointment to generate a draft clinical note, which Katie reviews and finalises before it's saved to your file. We'll let you know when this tool is being used in your session, and you're welcome to ask for it to be switched off at any time.
Direct Marketing. With your consent, we use Mailerlite to send newsletters, program updates, and other marketing communications. You can withdraw consent and unsubscribe at any time using the link in any email, or by contacting us directly. Appointment reminders and other service related communications are sent through Cliniko and are separate from marketing communications.
Health Information. Health information is collected only where necessary for your nutritional counselling and is handled confidentially, in line with the Privacy Act 1988 (Cth) and the Australian Privacy Principles.
Data Security. We take reasonable steps to protect your personal information from misuse, loss, and unauthorised access, including through our practice management system's security measures. Please let us know if any of your details change so we can keep your records accurate.
Access, Correction & Complaints. You can request access to, or correction of, your personal information at any time by contacting katie@simplisticnutrition.com.au. If you have a concern about how your information has been handled, please contact us first so we can address it directly. If you remain unsatisfied, you can lodge a complaint with the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au.
